Data Practices and Student Privacy

Schools must report any digital tools they use that students have to log into as part of the Colorado Student Data Transparency and Security Act (C.R.S. 22-16-101 et. seq.). We can only use tools that are either approved by the District or self-vetted by teachers after completing a Schoology course, Choosing Tools with Data Privacy in Mind.

We have published a list of tools (including a link to the tool's website), along with a brief description for families to understand why the tool is being used, how students interact with and access the tool, what data is required for students to enter and whether they create a profile. This page is reviewed and updated on a monthly basis during the school year.

Book Creator

What is this tool? Book Creator is a digital book-making tool accessible in a browser or as an iPad app. Students can use the tool to produce and publish their own books or comics with images, videos, and audio. Finished books can be shared by email, AirDrop, Google Drive, Dropbox, printing, publishing to iBooks, and more.

How is this tool being used?

How do students access the tool? Students sign in at https://app.bookcreator.com/sign-in using their Jeffco Google account. They join their class library using a teacher-provided code, and any books they create can be accessed by the teacher and added to the class library to share with classmates.

CommonLit

What is this tool? CommonLit is a website that includes a collection of freely available fiction and nonfiction readings paired with standards-aligned instruction around that content. All the instructional resources are created by teachers for teachers. Registered users can access related media, the article's teacher's guide and family guide (designed to expand the reading and discussion experience at home), as well as the printable teacher and student PDF for offline use.

How is this tool being used? Teachers may assign readings from the site for students, which they may read on school-owned or personal devices, or print on their own. Because readings are available sorted by Lexile level, teachers can differentiate reading to suit students' individual needs.

How do students access the tool? Students log into the website using their Jeffco e-mail address and a password they set. We hope to have it set up in the future with the log-in platform Clever, which is used by several other digital tools in our district.

Do students have to create a profile or enter other personal data? Yes. For the present, students are expected to create a login using their school e-mail address (their student number at jeffcoschools.us).

Discovery Education Streaming Plus

What is this tool? Discovery Education Streaming Plus is an online asset that includes curated content collections and instructional resources: over 100,000 videos, images, podcasts and audio files, encyclopedia articles, and interactive skill builders. Students may access creation tools that allow them to design, build, and share their own content, demonstrating their learning in new and creative ways.

How is this tool being used? Teachers can personalize instruction by assigning different resources to students in a single class. Streaming also includes an assessment builder that provides immediate, actionable feedback, which teachers can use to understand individual student needs.

How do students access the tool? Students log in to the site at [LINK] using unique logins set up by their classroom teachers.

EasyBib

What is this tool? EasyBib is a website and a Chrome extension that creates citations for bibliographies or works cited pages.

How is this tool being used? EasyBib may be used alongside Google Docs when students are writing research papers. It supports the citation teaching already done in classes.

How do students access the tool? Students can either access the EasyBib website or install the Chrome extension so it is always accessible from an open Chrome window.

Do students have to create a profile or enter other personal data? The EasyBib website does not require a profile to be created in order to use the website. The EasyBib Chrome extension can see the user's name and e-mail address.

EquatIO

What is this tool? EquatIO is a math tool available to our students as a browser extension. It allows users to enter equations, formulas, and graphs into G Suite documents (Docs, Sheets, Slides) using a keyboard, a digital handwriting tool, or speech dictation.

How is this tool being used? Students may use EquatIO to support their writing work in any class.

How do students access the tool? Once the extension has been added, students click on the icon in the top right corner of a G Suite document to activate the editor.

Google Classroom

What is this tool? Google Classroom is a blended learning platform for schools. It combines Google Drive for assignment creation and distribution, Google Docs, Sheets and Slides for writing, Gmail for communication, and Google Calendar for scheduling.

How is this tool being used? Each class creates a separate folder in a student's Google Drive, where the student can submit work to be a graded by a teacher. Teachers can monitor the progress for each student, and after being graded, teachers can return work, with comments, for the student to revise and improve the assignment. Teachers can post announcements to a class stream, where students can comment.

How do students access the tool? Students can log into their Google Apps account from any internet-connected computer. The Google Classroom application, which can be installed on a personally-owned iOS or Android device, lets users take photos and attach to assignments, share files from other apps, and access information offline.

Do students have to create a profile or enter other personal data? Students access Google Classroom using their Jeffco Google account, which uses their full first and last name.

Google Workspace

What is this tool? Google Workspace (formerly Google Apps for Education and GSuite) is a collection of cloud computing, productivity and collaboration tools, software and products. It includes Gmail, Hangouts, Calendar, and Meet for communication; Drive for storage; and Docs, Sheets, Slides, Forms, and Sites for collaboration. Files created and edited through the office suite are saved in Google Drive. It allows users to store files online, synchronize files across devices, and share files. In addition to a website, some of these tools have individual apps with offline capabilities for Windows and macOS computers, and Android and iOS smartphones and tablets.

How is this tool being used? Google Drive holds most student work created online, such as documents, spreadsheets, and presentations. Students may use Gmail to communicate with their teachers. Other communication tools, such as Hangouts and Calendar, are not systemically used at our school.

How do students access the tool? Students can log into their Google Apps account from any internet-connected computer. They can install individual applications for Google Apps products on a personally-owned computer, tablet, or smartphone and log in with their Jeffco Google account.

Do students have to create a profile or enter other personal data? Students access Google Apps using their Jeffco Google account, which uses their full first and last name.

Kahoot!

What is this tool? Kahoot! is a game-based learning platform. Its learning games ("kahoots") are multiple-choice quizzes that can be created by anyone and are not restricted as to age level or subject matter.

How is this tool being used?

How do students access the tool? Kahoot! can be played using any mobile device, desktop or laptop with an internet connection and web browser.

Do students have to create a profile or enter other personal data? No. When a Kahoot is launched, the system generates a unique PIN. Students visit the Kahoot website and input the unique PIN, then enter a nickname before being directed to the waiting screen (the "lobby"). Once all players' nicknames appear in the lobby, the Kahoot host (normally the teacher) begins the quiz.

Khan Academy

What is this tool? Khan Academy is a website for self-directed learning. It contains thousands of videos, generates quizzes for students to check their understanding, and rewards good performance with video game-like badges.

How is this tool being used? Math teachers at our school use Khan Academy to supplement student learning.

How do students access the tool? Students log into the website using Clever, a service that allows users to sign into multiple applications using their standard Jeffco username and password, the same way they would log into district computers or email. The Jeffco login page is at https://clever.com/in/jeffco, which is linked from all of our math teachers' websites as well as the main page of our school website.

Do students have to create a profile or enter other personal data? No. The site uses district-provided information since it is tied to individual students' login credentials.

Learning Ally

What is this tool? Learning Ally is a digital collection of human-narrated audiobooks for K-12 students that includes popular fiction, classic literature, textbooks, test prep and study aids. The system is used by students that have a reading accommodation, a specific learning disability (e.g., perceptual disabilities, brain injury, minimal brain dysfunction, dyslexia, developmental aphasia), are blind or visually impaired, or have a physical impairment that prevents them from reading standard print.

How is this tool being used? Teachers can assign titles from Learning Ally's library of audiobooks onto digital "bookshelves" personalized for each student. Teachers have access to tools for tracking a student’s progress, providing metrics such as which titles are being read and how many pages have been completed. Students are able to download and independently access theiraudiobooks on their own computer, smartphone or tablet devices.

How do students access the tool? Students log in to Learning Ally from a computer or an app-enabled device. Learning Ally Link is a free app available on the App Store for iOS devices and on Google Play for Android devices.

LearnZillion (Illustrative Math)

What is this tool? LearnZillion is a website that includes a complete electronic version of the Illustrative Math student edition textbook. Additional material available on the website includes.... 

How is this tool being used? Students are encouraged to access the LearnZillion site outside of class for 24/7 access to the textbook and supporting materials. Family material for a given unit is linked from the This Week in Math tab on our math teachers' websites.

How do students access the tool? Students log into the website using their standard Jeffco username; their password is JPS and the last four digits of the student ID number (e.g., JPS0000). The Jeffco login page is at https://jeffco.learnzillion.com/login/student-login, which is linked from all of our math teachers' websites as well as the Links & Logins page accessible from the front page of our school website.

Newsela

What is this tool? Newsela is a website that allows students to access news stories from several sources that match their reading level (measured by Lexile score) as well as age appropriateness.

Pear Deck

What is this tool? Pear Deck is an interactive presentation and lesson delivery tool designed to enhance learning as students move through a slideshow. 

How is this tool being used? Students use their devices to follow along with the teacher's slideshow on a classroom screen or can complete student-paced decks in class or at home. With in-person delivery, teachers can pause at points where they've added one of several different question types, including drawing, dragging, text, number, and multiple choice. Teachers can view students' responses to these questions immediately, as well as share the results anonymously on-screen for all students to see.

How do students access the tool? Students go to https://app.peardeck.com/join and enter a teacher-provided code to access the deck being used.

Read&Write

What is this tool? Read&Write is a literacy tool available to our students as a browser extension. Its suite of tools include:

  • Text-to-speech reading with read-along highlighting and the ability to save an audio file to listen to later;
  • Text-to-speech reading for PDF files;
  • A dictionary that can instantly correct and define words as users type or talk;
  • A picture dictionary to help users visualize words;
  • A translator to support understanding of foreign language words;
  • Text prediction that suggests words as user type or talk;
  • Four highlighters to collect and gather information into a separate document;
  • A tool to practice reading aloud;
  • A vocabulary list to save words and compile users' own personal glossaries; and
  • A check for spelling, grammar and confusable word errors.

How is this tool being used? Students may use the tools in Read&Write to support their work in any class.

How do students access the tool? Once the extension has been added, students click on the purple puzzle piece icon:

  • At the top right of a Google Doc or Google Slides document to open the toolbar;
  • Next to the Chrome Bookmark star on the address bar to use on a web page (note the toolbar must be opened any time you navigate to a new page or new tab is opened); or
  • By double-clicking on a PDF or ePub file in Google Drive.

Remind

What is this tool? Remind is a messaging service that allows teachers to send broadcast messages to entire classes of students or families, or messages to of the class.

How is this tool being used? Teachers create a class in Remind from the website or mobile application. Teachers can send broadcast messages to entire classes of students or families, or message a subset of the class. The messages are one-way, so students cannot reply. The nature of the messages ranges from assignment reminders and upcoming exams to last minute room changes or words of encouragement. Teachers can also schedule messages in advance and look back on their communication history, which is never deleted. Messages may contain attachments, such as pictures of the whiteboard or homework assignments.

How do students access the tool? Students and families sign up from their phone by sending a text message or e-mail to the classroom code provided by the teacher.

Do students have to create a profile or enter other personal data? Students are asked to provide a phone number or e-mail address in order to receive messages. Remind will not share any information besides a user's full name to other users on Remind without the user's permission.

Schoology

What is this tool? Schoology is a learning management system that provides tools to manage any classroom or blended learning environment.

How is this tool being used? Classes may have a course created for them in Schoology. A course can encompass attendance records, an online gradebook, tests and quizzes, and homework dropboxes. Its social media interface facilitates collaboration among a class, a group, or a school.

How do students access the tool? Students log in at jeffco.schoology.com using their Jeffco computer login credentials from any internet-connected computer. A Schoology app is available for Android and iOS devices.

SignUpGenius

What is this tool? SignUpGenius is a web-based service used for event planning and volunteer coordination.

How is this tool being used? Students use SignUpGenius if, and when, they need to schedule an assessment make-up or re-do.

How do students access the tool? Students go to a URL for an individual sign-up page. To see an example for families, sign-up pages for individual events where users can volunteer time or items are linked from the school's Volunteer Opportunities page.

Do students have to create a profile or enter other personal data? No. The only information required by SignUpGenius is a name for the user signing up for an item and whether that name can be viewed publicly is up to an individual signup creator.

Soundtrap

What is this tool? Soundtrap is a digital audio workstation accessible in a web browser or a mobile app. It includes prerecorded loops, multi-track recording, software instruments, and voice recording. Soundtrap for Education limits the collaboration through integrated chat and video calls to within our district for students.

Turnitin

What is this tool? Turnitin is a website that is used for students to submit essays to be checked for unoriginal content. The results can be used to identify similarities to existing sources or can be used in formative assessment to help students learn how to avoid plagiarism and improve their writing.

How is this tool being used? Students may use this to turn in written work. They will also use the service in high school and college.

How do students access the tool? Students have a username and password set for them. Students in Mr. Cushing's classes may see their login information at http://www.mrcushing.net/student-logins.html .

Do students have to create a profile or enter other personal data? Accounts are created for students by their classroom teacher. The account uses a student's first and last name.

TypingClub

What is this tool? TypingClub is a website, Chrome and mobile app used to teach touch-typing (typing using all fingers, without looking at the keyboard). It guides students through brief, easily digestible keyboarding lessons with a set of corresponding speed and accuracy assessments for each. In between these lessons are fun videos that focus on skills, finger gym exercises, and review. A guide at the bottom shows students where the keys are, and students get instant feedback while typing. Students can examine their typing data through words per minute (WPM), accuracy percentage, and activity over time, and teachers can monitor all students' activity.

How is this tool being used? Students in Computer Applications use TypingClub.

WeVideo

What is this tool? WeVideo is an online service that allows users to make, edit, and share videos. Collaborative editing is a feature of the service. WeVideo is available as a website and as an application for iOS and Android devices.

How is this tool being used? Students may use WeVideo to create films as the product of Problem-Based Learning units.

How do students access the tool? Students log in using their Jeffco Google account, which is their student number @jeffcoschools.us and their password. They may install the WeVideo app on a personally-owned computer, tablet, or smartphone and log in with their Jeffco Google account.

Wufoo

What is this tool? Wufoo is a service for building and using online forms.

How is this tool being used? Students may use Wufoo to submit assessment retake requests. Eighth grade students use Wufoo to submit the Travel Plan for their History on the Road project.

How do students access the tool? Students may access an individual Wufoo form from a URL provided by the teacher.

Do students have to create a profile or enter other personal data? No. In addition, Wufoo forms use HTTPS/TLS encryption by default and their servers are managed in a SOC 2, Type II facility here in the United States.
